Sharing Knowledge Base Content Between Actionstep Systems

You can share topics from one Actionstep knowledge base with users in other Actionstep systems. This is useful if you are maintaining a central resource and only want to edit the content in one place. When changes are made, they will be instantly updated in all associated knowledge bases.


For example, let's say you've created a knowledge basic article in your current Actionstep system (orgkeyA). You want to also publish this same article in another orgkey's knowledge base (orgkeyB). You can use the options available in the topic properties of both knowledge bases to link the two. 



To do this:

  1. Create a new user and password in the originating orgkey (e.g., orgkeyA in the example above). Make note of their user name and password.
  2. Assign this user a system role and permissions for the topic you want to share. (See Setting Firm Knowledge Base Permissions (Admin) for help.)
  3. In the originating orgkey (e.g., orgkeyA), edit the knowledge base topic you want to share. (To do this, go to More > Knowledge Base > Admin, click the topic you want to share, and choose Edit.)
  4. In the Share this topic field, select and copy the URL, as shown in the following image:
  5. In the destination orgkey (e.g., orgkeyB in the example above), create a new topic. You can give it any name you choose. (See Adding Topics to a Firm Knowledge Base for help.)
  6. In the Remote Datasource field for the topic, paste the URL from the originating orgkey's knowledge base topic.
  7. Replace the username:password parameter with the user and password information you created in Step 1. 
  8. Click Submit to save your changes.
