InfoTrack allows you to do property title and other searches from within your matters in Actionstep. Search results are posted back to the matters and the costs can be automatically created as disbursements (with optional markups) so you can recover these costs from your clients.
Setting Up the Free InfoTrack Plug-In
To set up the plug-in:
- Make sure you have an account with InfoTrack and know your InfoTrack username and password.
- Enable the integration by going to Admin > Integrations and clicking Connect with InfoTrack in the InfoTrack section. (You can learn more about InfoTrack on the Actionstep Integrations page.)
- Once enabled, go to Admin > Integrations > InfoTrack > Manage and enter your preferences, specifically:
- Choose your InfoTrack region.
- In the Enable for matter types section, select the matter types where InfoTrack should be enabled.
- Choose your Authentication options and provide the relevant credentials.
- In the Automatic disbursements section, choose whether searches will automatically create disbursements and then specify the details.
- Choose your InfoTrack region.
- Click Save to save your changes.
Using InfoTrack
Once the plug-in has been installed and set up (see above), you can begin using it.
To use InfoTrack within Practice Management:
- View a matter for a matter type that has been enabled for use with InfoTrack. (See Editing a Matter for help.)
- Click the Plugins menu icon and choose InfoTrack from the list of options.
The InfoTrack page appears, showing the Order History tab. If there are past searches, they are displayed. - Optionally, click New Search to complete a new search. (Refer to the InfoTrack help system for full instructions.)
• Actionstep pulls information from InfoTrack, so the disbursement amount shown in Actionstep will match what’s in InfoTrack at first. However, if you change the cost in Actionstep—like adding markup—it won’t update in InfoTrack automatically.
• Actionstep only tracks details of searches made from Actionstep. Completing searches directly in InfoTrack will not cause the information to automatically be saved in Actionstep.
Viewing Search Results Across All Matters
You can see a record of all InfoTrack searches across your system.
To see a list of all InfoTrack search results:
- In Practice Management, go to Admin > Integrations. The Integrations page appears.
- Click Manage next to InfoTrack. The InfoTrack page appears.
- Click the link next to Order history.
The complete history is displayed.
Understanding the GST
GST in the InfoTrack plug-in works like any purchase where your firm pays GST on your InfoTrack requests to InfoTrack. You then have the option to charge GST to your client when invoicing that client. This should be applied to the GST Exclusive amount given to you from InfoTrack.
Billing InfoTrack Searches
Billing or invoicing an InfoTrack search does not require any additional steps. When you order a new search and it is recorded in Actionstep, it will automatically be added as a disbursement on the matter's Billing page of the associated matter.
Handling InfoTrack Expenses
InfoTrack expenses are handled the same as any other supplier expense. Simply create a new supplier invoice for the expenses. See Creating a Supplier Invoice/Vendor Invoice to learn more.
Troubleshooting
Credit Not Displaying in Actionstep
A credit processed through InfoTrack may not appear in your searches in Actionstep. This is because a credit would normally be issued to a customer by creating a credit from the existing invoice, not by waiting for InfoTrack to issue a credit and process that through the billing system.
