Getting to Know the Bills List Page

The Bills List page provides a complete view of all bills in the system regardless of what stage they are in—draft, unproduced, and produced. 


  • To access the Bills List in Actionstep, go to Billing > Bills list. 

 

The Bills List page is divided into three main areas:


A. Actions

No bills selectedOne or more bill selected
Filter: Click this drop-down to view the different options available for limiting which bills are listed.

Refresh icon: Click this icon to update the list to make sure it is contains current data. This is useful when using separate tabs/windows or when other users are entering/changing billing information.
View/Edit: Click this view or edit the selected bills. You can only edit bills in draft.

Revert to draft: Click this to revert the selected bills to draft. Please note that if any payments have been made against the invoice, you cannot do this. (You must first reverse the payment instead.)

Delete: Click this to delete the selected bills. Please note that if any payments have been made against the invoice, you cannot do this. (You must first reverse the payment instead.)

Create payment: Click this to load the client receipt and make a payment against a bill. 

E-Billing: Click this to generate a LEDES file for the invoice.


B. List of bills and the details of each bill:

  • Checkbox: Click this checkbox and choose Select All to select all bills in the list. If any bills are already selected when you click the checkbox, your options are Select None and Select Invert
  • PDF: Click the PDF icon to download a copy of the bill.
  • LEDES: If available, click to document icon to download the LEDES file in Word. 
  • E-Billing Format: Shows the e-billing formatting and type (where applicable).
  • Inv No.: Shows the number of the invoice. Click the number to view a read-only copy of the invoice.
  • Client: Shows the name of the client on the matter being billed.
  • Invoice type: Shows whether the bill is single or consolidated.
  • Responsible LawyerShows the designated responsible party for the matter.
  • Matter ID: Lists the ID for the matter being billed. Click this link to view the matter.
  • Matter Name: Shows the name of the matter to which the bill is attributed. Click this link to view the matter.
  • Invoice Date: Shows the accounts receivable date for the bill.
  • Payment Terms: Lists the payment terms of the bill.
  • Due DateLists the due date of the bill's payment.
  • StatusShows the bill's status: Draft (draft bill), Approved (approved but not yet emailed or printed), or Finalized (approved and produced).
  • FeesShows the total fees that are included on the bill (exclusive of GST and disbursements).
  • ExclusiveShows the total fees and disbursements exclusive of GST.
  • TaxShows the sales tax for the bill.
  • TotalLists the total amount of bill (including fees, disbursements, and tax).
  • PaidLists the amount already paid towards the bill.
  • Write-OffShows any write-off amounts that have been applied to the bill.
  • DueLists the amount due on the invoice.
  • Email: Shows whether an email has been sent. You can click the link to view the email workflow where you can either draft an email to be sent or review previously sent messages. 
  • DCShows an icon that indicates the bill's debt collection status. 


C. Checkboxes 

Select one or more bills and then use any of the options listed in the Actions section to perform that task
