Setting Up Abbreviations in System Preferences (Admin)

An admin can create and edit abbreviations, which allow you to type a few characters, press the spacebar, and have the full word or phrase entered. This functions like autofill or autotext, which you may use in other applications. 


You can use abbreviations in the following fields:

  • Scratchpad notes
  • File Notes
  • Time Entry descriptions
  • Expense/Disbursement descriptions
  • Transfer Retainer memo
  • Refund Retainer memo
  • Retainer Bill Payment memo
  • Client Receipt memo
  • Write-off memo
  • Create Credit - Reason for credit field
  • Apply Credit Note memo
  • Client refund: 
    • Check memo
    • Journal memo
  • Firm Receipt memo
  • Firm Withdrawal Journal memo
  • Supplier/Vendor Payment:
    • Check memo
    • Journal memo



An abbreviation has two parts to it:

  1. The shortened text, or what you will type to trigger the abbreviation. 
  2. The expanded text, or what will appear once you press the spacebar and the abbreviation has been triggered.


Some examples might include:

  • Abbreviation text "fyi" would expand to "for your information"
  • Abbreviation text "cliapp" would expand to "client appointment"
  • Abbreviation text "ctdate" would expand to "court date"

 

 


To add autofill abbreviations:

  1. In Practice Management, go to Admin > General settings. The General Settings page appears.
  2. In the Abbreviations section, click Add row or select an existing abbreviation from the list to edit it.
  3. In the Abbreviation column, enter the text you want to type to trigger the full word or words.
  4. In the Expanded Text column, enter the full word or words you want to appear when the spacebar is pressed.
  5. Click Add row to complete these steps for as many abbreviations as you need.
  6. When you're finished making your changes, click Save.
