When sending letters or generating client documents, you often want to include graphics or branding that’s specific to your firm—especially if there are multiple firm locations in your organization. Or perhaps there are times when you want to dynamically insert content from other documents into the current document. You can use Builder to pull this content into a template.
The easiest way insert optional branding or imagery is to place the imagery in separate Word documents and insert the document in the template based on an if instruction/condition.
There are two parts to inserting a Word document into a template:
- Creating the template variable
- Inserting the template variable in the current template
Part 1: Create the Template Variable
- Create the Word documents you want to insert and save them to disk.
- Launch the Online Workspace. (See Accessing the Builder Online Workspace for information.)
- Click the Designer tab, and in the Elements list, select the catalog you want the inserted documents associated with.
- In the main section of the page, click the Templates tab. The view changes to show a list of your existing templates.
- Click Add a new template. The New Template window appears.
- Enter a Template Name and choose .docx from the Type drop-down list.
- Click OK. This creates a template component and displays a form so you can specify the details for the template.
- Click Upload and then browse to and select the Word document you want to insert.
- Optionally, add any Notes about the file.
- Click the Save icon near the top of the page.
Part 2: Inserting the Template Variable in the Current Template
- Edit the Builder template and view the Word Designer. (See Editing a Builder Template File for information.)NOTE: If you already have the template open and are editing it, click Refresh in the Builder ribbon. This updates your Word Designer with the template you just created in the Online Workspace.
- Place your cursor in the template where you want the document to be inserted.
- In the Word Designer, select Templates to ensure templates are listed.
- Find the template you want to insert and click its ellipses icon.
- Choose Insert content to Document. The field for the inserted template is added to the Word document.
- Save your template.
If you want the inclusion of this document to be conditional (or dependent on something else happening, like a specific question being answered a certain way), you can place the field inside an if instruction. See Using If and List Instructions for more information.
